This Privacy Policy explains how VerifyDocsNow LLC collects, uses, stores, and protects information when you use VerifyMyDocs. Our service processes sensitive documents, including bank statements and pay stubs, so we take privacy and security seriously.
1. Information We Collect
Account Information
When a dashboard user creates an account or uses the service, we may collect information such as name, email address, business information, authentication identifiers, billing status, plan information, scan usage, and account settings.
Applicant Information
When a case is created or an applicant submits documents, we may collect applicant information such as full name, email address, phone number, employer name, monthly income, notes entered by the dashboard user, and requested document types.
Uploaded Documents
The service may collect and process uploaded documents, including bank statements, pay stubs, and related images or PDFs. These documents may contain sensitive financial information, account details, employer information, income information, transaction history, addresses, and other personal information.
Verification and Analysis Data
We may generate document analysis results, fraud-risk indicators, document-type classifications, risk scores, extraction results, metadata signals, upload validation results, manual review flags, and related verification outputs.
Technical Information
We may collect IP address, device type, browser type, operating system, user agent, upload timestamps, request logs, security events, and diagnostic information needed to operate and protect the service.
Billing Information
Payments are processed by third-party payment providers. We may store billing status, plan type, payment identifiers, subscription identifiers, and usage information, but we do not store full payment card numbers on our servers.
2. How We Use Information
We use information to:
- Provide document upload, verification, and case-management features.
- Classify documents as bank statements, pay stubs, or unsupported documents.
- Detect fraud-risk indicators and recommend manual review when needed.
- Display verification results to authorized dashboard users.
- Send applicant links, case notifications, billing emails, and service messages.
- Manage accounts, subscriptions, scan limits, billing, and support.
- Secure the service, prevent abuse, debug errors, and maintain audit logs.
- Comply with legal obligations and enforce our Terms of Service.
3. How We Share Information
We do not sell personal information. We may share information with service providers that help us operate the service, including cloud hosting, authentication, storage, email delivery, SMS delivery, payment processing, security monitoring, analytics, logging, and document-processing infrastructure.
We may also disclose information when required by law, legal process, government request, security investigation, fraud prevention, or to protect the rights, safety, and property of our users, applicants, company, or others.
4. Dashboard Users and Applicants
Dashboard users may create cases and request documents from applicants. Applicants who receive a verification link may submit documents directly through the applicant upload page. Verification results may be made available to the dashboard user who created the case.
If you are an applicant, the dashboard user requesting your documents may be responsible for explaining why the documents are being requested and how they will use the verification results.
5. Data Security
We use technical and organizational safeguards designed to protect sensitive information. These may include authentication controls, access restrictions, private cloud storage, signed document links, upload validation, file-size limits, document-type checks, audit logging, encryption in transit, and provider-level security controls.
No system is completely secure. We cannot guarantee that unauthorized access, disclosure, loss, or misuse will never occur.
6. Data Retention
We retain documents, case information, analysis results, logs, and billing records only as long as reasonably necessary for service operation, security, legal compliance, dispute resolution, auditing, and enforcement. Raw uploaded documents may be deleted according to our storage retention rules or account settings.
We may retain limited metadata, billing records, security logs, or audit information after raw documents are deleted if necessary for legitimate business, legal, or security purposes.
Deleted dashboard cases are hidden from the dashboard user but may be retained internally for up to 90 days so we can investigate fraud, prevent abuse, provide support, maintain audit trails, and protect the integrity of the service.
7. Applicant Links and Signed URLs
Applicant links and document preview/download links may function as bearer links. Anyone with access to a valid link may be able to use it until it expires or is revoked. Do not share verification or document links with unauthorized people.
8. Cookies and Similar Technologies
We may use cookies, local storage, authentication tokens, and similar technologies to keep users signed in, operate the dashboard, secure sessions, remember preferences, and analyze service performance.
9. Email and SMS Communications
We may send transactional emails or SMS messages related to case creation, applicant upload links, document submission, analysis results, manual review, billing, account security, or service updates. Message and data rates may apply for SMS messages.
You may not be able to opt out of essential transactional or security messages while using the service.
